This part-time position has an end date one year from the date of hire with the possibility of extension. Regular hours of work will be 8 AM to 1 PM on Mondays, Tuesdays, and Wednesdays, but there is some flexibility with this schedule depending on the candidate’s availability.

The Alberta Glycomics Centre (AGC) is comprised of a team of highly motivated individuals whose research interests span a multidisciplinary array of biological processes and technologies specific to carbohydrate research. The fields of chemistry, biology, medicine, and engineering are dynamically integrated as experts in areas such as carbohydrate synthesis, protein-carbohydrate interactions, drug discovery, vaccine development, mass spectrometry, and X-ray crystallography work together to explore carbohydrate science. Currently, six principal investigators conduct their research as part of the Glycomics Centre.

The AGC Administrative Assistant will be required to provide administrative and financial support to the Alberta Glycomics Centre Manager (Business and Operations) and the Financial Administrator, usually with a minimum of direct supervision.

Duties

Assists Financial Administrator with various administrative tasks that may include, but is not limited to, scheduling and organizing special events and meetings; budgeting and ordering food and refreshments; setting up presentations and liaising with IT support
Maintains registration information of annual AGC Symposium guests
Carries out other Symposium preparation duties as requested
Photocopies, binds, files, and packages meeting documents and materials for attendees
Prepares travel and accommodation arrangements for Board Members and Principal Investigators
Assists Financial Administrator with some financial processes, such as travel expense claim reimbursements and budgeting
Obtains required signatures within the AGC, Department, Faculty, and the University of Alberta as necessary
Performs other related duties and tasks as required
Qualifications

Minimum High School (Grade 12) Diploma; Office Administration Diploma or equivalent is preferred
Minimum 2 years of related experience in a busy administrative office
Valid Class 5 Driver’s License is strongly preferred as there may be some travel required
Knowledge of PeopleSoft Financials preferred
Proficiency in MS Office applications (Word, Excel, PowerPoint), Google Docs, Google Calendar, etc.
Excellent communication (verbal and written) and interpersonal skills
Knowledge of University policies and guidelines preferred
Ability to work independently with minimal guidance
Ability to work under pressure and with ongoing deadlines
Superior accuracy and attention to detail
Superior organizational skills
